Privacy policy

This policy explains what we do with the personal information you give us through this website — including the documents we need before an installation can be booked.

This is a working draft prepared from how the site actually collects and handles data. The sections marked [placeholder] need your own details, and the whole policy should be reviewed by a suitably qualified adviser before you publish it.

1. Who we are

EnerPark Ltd (“EnerPark”, “we”, “us”) supplies and arranges the installation of air source heat pumps for holiday homes, in partnership with holiday park operators. We are the data controller for the personal information described in this policy.

Registered office: EnerPark Ltd, 2 Braceby Road, Skegness, England, PE25 2BE. Company number: 17331603.

If you have any question about this policy or about how we handle your information, contact us at hello@enerpark.co.uk.

2. What this policy covers

This policy explains what personal information we collect through this website, why we collect it, who we share it with, how long we keep it and what rights you have over it. It applies to holiday-home owners, holiday park operators and anyone else who contacts us through the site.

Our website links to pages and forms hosted by other organisations. Where that happens, their own privacy policies apply to the information you give them.

3. The information we collect

Information you give us through our forms. Depending on which form you use, this may include your name, email address, phone number, the name of your holiday park, the number of holiday homes on your park, whether you are an owner or an operator, and anything you write in a message field.

Verification documents. Before we can arrange a survey and installation, our accredited engineering partner needs to verify your identity and address. At that stage we collect your home address and copies of two documents: proof of identity (such as a passport or driving licence) and proof of address (such as a bank statement or utility bill). These documents contain information that data protection law treats as requiring particular care, and we handle them accordingly.

Information collected automatically. Like most websites, our hosting provider records technical information when you visit — such as your IP address, browser type and the pages you view — in server logs used to keep the site secure and working properly. [Placeholder: confirm whether analytics or advertising cookies are in use and list them here.]

4. Why we use it, and our lawful basis

To respond to your enquiry and call you back. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.

To send you the guide or other material you asked for. Lawful basis: your consent, which you can withdraw at any time.

To arrange your survey and installation, and to support the system afterwards. Lawful basis: performance of our contract with you.

To verify your identity and address before installation. Lawful basis: our legitimate interest, and that of our engineering partner, in confirming who we are installing for and where, and in meeting the requirements that apply to accredited installation work. [Placeholder: confirm with your adviser whether a legal obligation basis also applies here.]

To send service messages about your installation or servicing. Lawful basis: performance of our contract with you.

To keep our records, meet our legal duties and handle any dispute. Lawful basis: compliance with a legal obligation, and our legitimate interest in running the business properly.

5. Who we share it with

Our accredited engineering partner. We pass on the details needed to survey, install and service your system, including your verification documents. They handle that information under their own obligations as well as the terms we agree with them.

Our customer relationship management provider. Form submissions from this website are transmitted to and stored in our CRM system, which is operated on our behalf as a processor.

Our website host. The site and its server logs are hosted on our behalf.

Professional advisers and authorities. We may share information with our advisers where needed, or with a regulator, court or law-enforcement body where the law requires it.

We do not sell your personal information, and we do not share it for anyone else’s marketing.

[Placeholder: name each processor here — CRM provider, hosting provider, engineering partner — once your adviser has confirmed the wording.]

6. How long we keep it

We keep information only for as long as we need it for the purpose we collected it for, and to meet our legal and accounting obligations.

Verification documents are kept only for as long as we need them to complete the verification and the installation, and are then deleted. [Placeholder: state the retention period, for example 12 months from installation.]

Enquiry and marketing records are kept for [placeholder] from your last contact with us, after which they are deleted or anonymised. Installation and servicing records are kept for [placeholder] to support warranty and servicing obligations.

7. Where your information is held

Our providers may store or process personal information outside the UK. Where they do, we take steps to ensure it receives the protection UK data protection law requires — for example by relying on adequacy regulations or on standard contractual clauses with additional safeguards.

[Placeholder: confirm which providers transfer data outside the UK and which safeguard applies to each.]

8. Your rights

You have the right to ask us for a copy of the personal information we hold about you; to have inaccurate information corrected; to ask us to delete it; to ask us to restrict how we use it; to object to our using it on the basis of legitimate interests; and to receive certain information in a portable format.

Where we rely on your consent, you can withdraw it at any time. That does not affect anything we did with your information before you withdrew it. Every marketing email we send includes an unsubscribe link.

To exercise any of these rights, email hello@enerpark.co.uk. We will respond within one month. We may need to confirm your identity first, particularly where verification documents are involved.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113. We would appreciate the chance to put things right first.

9. Cookies

We use cookies that are necessary for the website to function, and our forms may set cookies to remember what you have already submitted.

10. Keeping your information secure

We use appropriate technical and organisational measures to protect your information, including encrypted connections to this website and access controls on the systems that hold it. Verification documents are stored in our CRM rather than by email wherever possible, and access is limited to those who need it to arrange your installation.

No transmission over the internet is completely secure. If we ever suffer a breach that is likely to result in a risk to your rights, we will notify the Information Commissioner and, where required, you.

11. Children

Our services are aimed at holiday-home owners and holiday park operators. We do not knowingly collect information about children. If you believe a child has given us their information, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. The current version will always be on this page, with the date it was last updated shown at the top. Where a change is significant we will take reasonable steps to bring it to your attention.
